Terms of Use

Please read these Terms of Use carefully before using SetPiece. By accessing or using the SetPiece platform, you agree to be bound by these terms. If you do not agree, do not use the service.
1. Acceptance of Terms
These Terms of Use (“Terms”) constitute a legally binding agreement between you and SetPiece (“we,” “us,” or “our”) governing your access to and use of the SetPiece platform, including the website at setpieceapp.com and the application at app.setpieceapp.com (collectively, the “Service”).
If you are using SetPiece on behalf of an organization — such as a city parks department or sports club — you represent that you have the authority to bind that organization to these Terms, and “you” refers to both you individually and that organization.
2. Description of Service
SetPiece is a field allocation and scheduling platform designed for city parks departments, sports clubs, coaches, and parents. The Service allows organizations to:
- Map and manage sports fields and complexes
- Allocate field time between cities and clubs
- Schedule teams, coaches, and staff across field spaces and time slots
- Communicate schedule changes, field closures, and notifications to coaches and parents
- Manage billing and subscriptions
SetPiece is currently in an early access phase. Features may change, be added, or be removed as the platform evolves. We will make reasonable efforts to notify users of significant changes.
3. Account Registration
To use SetPiece, you must create an account. You agree to:
- Provide accurate, current, and complete information during registration
- Keep your account credentials secure and not share them with others
- Notify us immediately at hello@setpieceapp.com if you suspect unauthorized access to your account
- Be responsible for all activity that occurs under your account
Organization administrators (city admins and club admins) are responsible for all users they add to their organization within SetPiece. This includes ensuring those users comply with these Terms.
4. Acceptable Use
You agree to use SetPiece only for its intended purposes and in compliance with all applicable laws. You agree not to:
- Use the Service for any unlawful, harmful, or fraudulent purpose
- Attempt to gain unauthorized access to any part of the Service or another user’s account
- Interfere with or disrupt the integrity or performance of the Service
- Reverse engineer, decompile, or attempt to extract the source code of the Service
- Use the Service to send spam, unsolicited messages, or harmful content
- Resell or sublicense access to the Service without our written permission
- Misrepresent your identity or organizational affiliation
5. Subscription Plans and Billing
SetPiece offers both a free tier (FreePiece) and paid subscription plans. By selecting a paid plan, you agree to the following:
- Billing: Subscriptions are billed on a monthly or annual basis as selected at checkout. All payments are processed securely by Stripe, Inc.
- Renewal: Subscriptions renew automatically at the end of each billing period unless cancelled before the renewal date.
- Trials: Certain plans include a free trial period. A valid payment method is required to start a trial. If you do not cancel before the trial ends, you will be charged for the selected plan.
- Cancellation: You may cancel your subscription at any time through the billing portal. Cancellation takes effect at the end of the current billing period; you retain access until then.
- Refunds: Subscription fees are non-refundable except where required by applicable law. If you believe you were charged in error, contact us within 30 days at hello@setpieceapp.com.
- Price changes: We reserve the right to change subscription pricing with at least 30 days’ notice. Price changes take effect at your next renewal date.
6. FreePiece Free Tier
The FreePiece plan is available at no cost and includes limited functionality: up to 5 coaches and 1 field. It is provided “as is” without any service level guarantees. We reserve the right to modify or discontinue the free tier at any time with reasonable notice.
7. Your Data
You retain ownership of all schedule data, organizational information, and other content you create within SetPiece (“Your Data”). By using the Service, you grant us a limited license to store, process, and display Your Data solely for the purpose of providing the Service to you.
We do not sell Your Data or use it for advertising purposes.
7a. Data Export
You may request a full export of Your Data at any time while your account is active by contacting us at hello@setpieceapp.com. We will fulfill export requests within 7 business days. Exports are provided as a downloadable archive containing your organizational data in both JSON and CSV formats.
7b. Data Retention After Termination
When your account is cancelled, suspended, or otherwise terminated:
- Export window: You have 7 days from the termination date to request a data export. We strongly encourage you to do this before your account closes.
- Retention period: We will retain Your Data for 90 days after the termination date. During this window, a data export can still be requested by contacting us at hello@setpieceapp.com.
- Permanent deletion: After the 90-day retention period, Your Data will be permanently and irrecoverably deleted from our systems. We cannot restore data after this point.
If you believe your account was terminated in error or you need to retrieve data urgently, contact us as soon as possible. We cannot guarantee recovery if the 90-day window has passed.
8. Intellectual Property
SetPiece and all related technology, design, software, trademarks, and content are the exclusive property of SetPiece. Nothing in these Terms grants you any ownership interest in the Service.
You may not copy, reproduce, distribute, or create derivative works from any part of the SetPiece platform without our prior written consent.
9. Disclaimers
The Service is provided “as is” and “as available” without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or uninterrupted availability.
We do not warrant that the Service will be error-free or that notifications will be delivered in all circumstances. You are responsible for maintaining backup communication methods for time-sensitive matters such as field closures or schedule changes.
10. Limitation of Liability
To the fullest extent permitted by applicable law, SetPiece shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Service, including but not limited to scheduling conflicts, missed notifications, or data loss.
Our total liability to you for any claim arising under these Terms shall not exceed the amount you paid to SetPiece in the three months preceding the claim.
11. Termination
We reserve the right to suspend or terminate your account at any time if you violate these Terms or engage in conduct that we determine, in our sole discretion, is harmful to the Service or other users. We will make reasonable efforts to notify you before termination except in cases of serious violations.
You may terminate your account at any time by contacting us at hello@setpieceapp.com. Upon termination, your right to access the Service ceases immediately.
12. Governing Law
These Terms are governed by the laws of the State of California, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be resolved in the courts located in San Bernardino County, California.
13. Changes to These Terms
We may update these Terms from time to time. When we make material changes, we will notify you by posting a notice within the SetPiece application or by email at least 14 days before the changes take effect. Your continued use of the Service after that date constitutes your acceptance of the updated Terms.
14. Beta Program
SetPiece is currently operating in a beta phase. Participation in the beta program is by invitation only and is subject to the following terms:
- Free during beta: Beta participants receive full access to the SetPiece platform at no charge during the designated beta period. No subscription fees will be charged while your organization is enrolled as a beta participant.
- Transition notice: Before beta access ends and paid billing begins, we will provide at least 30 days’ written notice by email. You may choose to subscribe to a paid plan or discontinue your use of the Service before that date with no obligation.
- Platform changes: Features, workflows, and pricing may change during the beta period. We will make reasonable efforts to notify you of significant changes in advance.
- Feedback: As a beta participant, we may ask for your feedback on the platform. Providing feedback is voluntary. Any feedback you share may be used to improve the Service without compensation or attribution.
- No SLA: Beta access is provided without a formal service level agreement. We will make commercially reasonable efforts to maintain availability, but the platform may be updated, interrupted, or modified at any time.
