SetPiece (“we,” “us,” or “our”) operates the SetPiece platform at setpieceapp.com and app.setpieceapp.com — a field allocation and scheduling platform for city parks departments, sports clubs, coaches, and parents. This Privacy Policy explains how we collect, use, share, and protect your information when you use our services.

By using SetPiece, you agree to the practices described in this policy. If you do not agree, please do not use our services.

1. Information We Collect

Information you provide directly:

• Account registration: your name, email address, and role (city admin, club admin, coach, or parent)
• Organization information: organization name and type
• Schedule and assignment data you create within the platform
• Communications you send to us, such as support requests

Billing information: Payment card data is collected and processed directly by Stripe, Inc. We do not store, see, or have access to your full payment card details. We receive only a billing status and subscription identifier from Stripe.

Information collected automatically:

• Usage data: features used, pages visited, and timestamps
• Device and browser type
• IP address

2. How We Use Your Information

• To create and manage your account and organization
• To provide the SetPiece scheduling, allocation, and notification features
• To send schedule notifications, field closure alerts, and other in-app or email communications relevant to your role
• To process billing and manage your subscription through Stripe
• To respond to support requests and communicate with you about your account
• To improve and develop the SetPiece platform
• To comply with applicable legal obligations

3. How We Share Your Information

We do not sell your personal information. We share data only in the following circumstances:

• Stripe — for payment processing and subscription management. Stripe’s use of your information is governed by the Stripe Privacy Policy.
• Supabase — our database infrastructure provider. Your data is stored securely within their platform.
• Render — our application hosting provider.
• Within your organization — schedule, field, and assignment information is shared with other users in your organization according to their role. For example, coaches see their assigned schedule; parents see their child’s team schedule.
• Legal requirements — if required by law, court order, or governmental authority.

We do not share your personal information with advertisers or unrelated third parties.

4. Children’s Privacy

SetPiece accounts are intended for adults only — specifically city administrators, club administrators, coaches, and parents. We do not knowingly collect personal information directly from children under the age of 13.

The platform displays team and schedule information that may reference youth sports teams, but we do not create accounts for or collect personal data directly from individual players or children. If you believe a child under 13 has provided us with personal information, please contact us immediately at hello@setpieceapp.com and we will promptly delete that information.

5. Data Retention

We retain your account and organizational data for as long as your account is active. If you request deletion of your account, we will delete or anonymize your personal information within 90 days, except where retention is required by applicable law or for legitimate business purposes such as resolving disputes or maintaining financial records.

6. Your Rights

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate or incomplete data
• Request deletion of your account and associated personal data
• Opt out of non-essential communications
• Receive a copy of your data in a portable format

7. Cookies and Local Storage

SetPiece uses session tokens stored in your browser’s local storage to keep you logged in between sessions. We do not use third-party tracking cookies, advertising cookies, or any cross-site tracking technologies. No data is shared with advertising networks.

8. Security

We take the security of your information seriously. SetPiece uses industry-standard security practices including:

• Encrypted connections (HTTPS) for all data in transit
• Hashed and salted passwords — we never store your password in plain text
• Role-based access controls so users only see data relevant to their role
• Secure, managed database infrastructure through Supabase

No method of transmission or storage is 100% secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security.

Our platform or website may contain links to third-party websites or services. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies before providing any personal information.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we make significant changes, we will post a notice within the SetPiece application or notify you by email. The “Effective Date” at the top of this page will always reflect the date of the most recent update. Your continued use of SetPiece after changes are posted constitutes your acceptance of the updated policy.
